Stop Re-Typing Class Lists: Moodle Meets Your SIS.
Every September, someone in your school exports spreadsheets and hand-builds classes in the LMS. It does not have to be that way. This guide covers the three working routes between Moodle and the systems schools actually run — PowerSchool, SIMS, Arbor, Bromcom — and how to choose between them.

Rule one: the SIS is the source of truth
Every failure in school integrations traces back to two systems both believing they own the roster. Decide once: students, staff, classes and enrolments are mastered in the SIS; Moodle consumes. Moodle-side manual enrolments get overwritten by the next sync — by design, and everyone is told so up front.
The three sync routes, compared
- OneRoster API — standardised rosters, classes and enrolments over REST; near-real-time; available from PowerSchool and a growing list of SIS/MIS vendors
- Vendor APIs & plugins — Arbor exposes a documented API; PowerSchool supports plugin and OneRoster routes; integration quality varies by vendor tier
- Scheduled CSV over SFTP — nightly exports from SIMS or Bromcom dropped to a secure folder; Moodle's flat-file enrolment and upload-users tooling consumes them; oldest route, still the most universal
There is no shame in the CSV route: it is auditable, debuggable by a school IT tech at 7 a.m., and survives vendor API changes. Choose the API when you need intra-day changes (cover lessons, same-day starters) to appear fast.
Mapping: where integrations are actually won
SIS concept -> Moodle concept
School -> Category (or separate tenant logic)
Class / section -> Course (template-applied)
Teacher of record -> Editing teacher enrolment
Student roster -> Student enrolment, cohort-synced
Parent / guardian -> Parent role, per-child assignment
Two decisions matter most. First, course creation from templates, so every synced class is born with your school's structure, gradebook categories and safeguarding settings. Second, identity matching: sync on the SIS's immutable student ID mapped to Moodle's idnumber field, never on names or email addresses that change.
September rollover, solved properly
With sync in place, rollover is a procedure, not a migration: archive last year's courses (kept read-only for grade evidence), let the SIS publish new-year classes, sync creates fresh courses from templates, teachers add their content or copy it forward. Test the whole cycle in July on the new-year data your SIS can already see.
- June: confirm SIS new-year structure is published
- July: test sync against new-year data on a staging copy
- August: run production sync, spot-check per department
- September: monitor first-week sync logs daily, then weekly
Parent access without the safeguarding headache
Parent visibility rides on the same data: guardians defined in the SIS become Moodle parent-role assignments scoped to their own children. Configure it from the sync, audit it with test parent accounts, and log access — because 'can parents see other children?' is the first question your safeguarding lead will ask, and the answer must be a demonstrated no.
Frequently asked questions
Does Moodle integrate with PowerSchool directly?
Yes — via OneRoster and PowerSchool's integration routes, class rosters and enrolments sync into Moodle automatically. We configure it so the SIS stays the source of truth and Moodle mirrors it.
Our school uses SIMS. Is CSV really the only option?
Scheduled CSV export is the most common SIMS route and it works reliably — nightly rosters, enrolments and leavers processed automatically. Where your SIMS setup exposes additional reporting or partner integrations, we use them; the design keeps the sync auditable either way.
How much does SIS integration cost?
Integration is quoted from $200 as part of a school deployment after we see which SIS you run and which route fits. The full K-12 deployment is a fixed $200; support plans start at $79/month.
What happens when a student joins mid-year?
They appear in the SIS, the next sync creates their account and enrolments, and they can log in the same day (API route) or next morning (CSV route). No ticket to IT, no manual class hunt.
Can the sync break our existing Moodle courses?
Sync is configured against a test run first, with matching by immutable IDs. Existing courses outside the sync scope are untouched; courses inside it are managed by the agreed rules, which we document for your IT lead before anything runs live.
